Job Description

Key Responsibilities:

🗓️ Administrative & Calendar Management
Manage the Director’s schedule, appointments, meetings, and travel arrangements.
Prioritize and coordinate daily agendas and ensure smooth workflow.
Prepare and follow up on meeting agendas, minutes, and action items.

✉️ Communication & Coordination
Handle all professional communications, emails, calls, and correspondence on behalf of the Director.
Coordinate with internal departments, senior leadership, clients, and external stakeholders.
Maintain confidentiality on sensitive issues and strategic decisions.

📊 Project & Task Management
Assist in project tracking, deadline management, and status reporting.
Prepare presentations, reports, briefing materials, and business documents.
Monitor and follow up on key tasks, deliverables, and performance indicators.

🧾 Documentation & Office Support
Organize and maintain records, reports, and confidential files.
Manage office documentation, approvals, and expense tracking for the Director’s office.
Liaise with legal, finance, HR, and operations teams for high-level coordination.

🧠 Strategic & Business Support
Act as a sounding board and provide insights during planning, reviews, or decision-making.
Support in investor relations, board communications, and strategic initiatives.
Maintain a deep understanding of the Director’s goals and business vision.

Qualifications & Skills Required:

Graduate / Postgraduate in Business Administration, Management, or related field
Minimum 10 years of experience as an Executive Assistant to C-level or Director-level executives
Excellent command of English and business communication
Strong proficiency in MS Office (Excel, PowerPoint, Word) and scheduling tools (Google Calendar/Outlook)
Highly organized, resourceful, detail-oriented, and professional
Discretion in handling confidential and sensitive information
